Employee PID Generation

New employees can generate their own PIDs once their basic information has been entered into Banner.

Step 1

The HR Banner representative for the department uses the form PWAEBIO to add the new employee to the Banner HR system. Enter all the information required on the form. In addition, add an office address (if you do not know where the person will be located, use the main office address.) The office phone number must be entered for the PID generation tool to work. Again, if one is not yet assigned, use the main departmental number.

If you get a message stating you are not authorized to access this person, the person is probably a former employee who already exists in the Banner HR system. Contact the HRIS support desk (540-231-7763) to change the employee information to allow you access.

Step 2

New employees need to know their last names, first names, ID numbers, birth dates, and office phone numbers to proceed. If necesary, tell the employee the phone number you have entered. If any field is missing or does not match, the PID generation tool will not work.

Step 3

The new employee goes to the Generate Your PID Web site. The employee fills in the fields with the same information that was entered in the PWAEBIO form. Formatting is not strict (ie, "(540)" will work as well as "540").

If the person is not a Virginia Tech employee, the P86 form (http://www.hr.vt.edu/downloads/forms/P86.doc) will need to be filled out and sent to HRIS as well for full access to be granted. However, the PID can be created before this form is completed.
